How to import file with users into ORTY system

To upload users to the ORTY system in bulk, follow these four simple steps:


1. Make a copy of the template.

2. Edit it.

3. Download the finished file.

4. Import it into the system.

Copy the template to edit it.

You can find the template following this link.
Copy it to continue the work. To make a copy go to the "File" tab and select "Make a copy" option.

Next, save the file on your Disk by choosing a convenient folder and click "OK" to continue.

Edit the downloaded copy of the file.

Enter data, which you would like to import:
First name*
Enter the username here, this field is required to fill in.
For example, "Robert".
Last name*
Enter the surname here, this field is required to fill in.
For example, "Dowson".
External program ID
This external identifier is assigned to the user, when created in the system.

Please note, if you have uploaded the Clients database and you have their IDs, then enter them in this field.
The format for an instance may look like this: "hhy6-jhhg-7691s0".

If you do not have Client ID, then do not fill in this field and after uploading to ORTY, each user will be assigned a unique ID. This field is optional.
Phone number*
Enter the user's phone number, please note that this field is required to fill in. The format includes numbers only. There is no need to fill in the characters such as "+" in the file.

For example, "1025638956".
Creation date
When uploading users, you can specify the date of registration in the following format: "year-month-day hour: minutes: seconds".
For example, "2020-02-21 08:48:13".

This field is optional, you can leave it blank and after the first import of data into ORTY, it will be filled in automatically with the actual date and hour of the file upload.
Program type*
Indicate the type of loyalty program that the Client is going to use. The field is required to fill in.

You can choose one of the two types of programs: "Discount" or "Cashback".
Loyalty program group*
Specify the name of the loyalty program, which shall be applied to the user. This field is required to fill in.

Takeaway percent
Having chosen previously the loyalty program, specify in this field the discount percentage if the Client places an order for a "Takeaway".
This field is not required to fill in.
Dine-in percent
Having chosen previously the loyalty program, specify in this field the discount percentage if the Client places an order for a "Dine-in".
This field is not required to fill in.
Delivery percent
Having chosen previously the loyalty program, specify in this field the discount percentage if the Client places an order for a "Delivery".
This field is not required to fill in.
Cashback
Enter the amount of cashback on the user's account. The Client will be able to use it to pay for orders. Learn more about using cashback here.
Date of birth
Enter the Client's date of birth. This field is optional, but by specifying the date you can send special promotions or bonuses to the birthday person.
Email
Enter the user's email address. This field is optional.
Total sales
This is a system field which is calculated automatically, summing up all orders for a given Customer.
If you are uploading new users, then there is no need to fill in this field.
Lead source
This is a system field, which is filled in automatically depending on the external channel that the Client had used to get to your site.
There is no need to fill it in manually when importing new users, but if you wish, you can, for example, mark the Clients you have uploaded from a file, by entering this information into the field.
For example, "uploaded from file".
Gender*
Specify the gender of the Client, so that it would be easier for you to form an appeal in mailings or when making a call.

This field is required to fill in, select one of the following three options: "Male", "Female", "Not specified".
Tags
Tag specific Clients, so you can form fixed groups, for tracking statistics and analytics.

For example, "Active", "New", "Just registered".

Download edited file.
After editing, save the file in "Microsoft Excel (XLSX)" format on your device. To do this, go to the "File" tab, select the "Download" option in the required format.

Upload the file into ORTY.
Go to the administrative panel in the CRM section in the Clients tab and click the "Upload file" button.

Click "Continue" and you will be able to select the edited and saved file on your device for the import.

After each attempt to import a file into the ORTY system, you will receive a system message to the e-mail whether the data has been loaded successfully.

The system message informing about successful data import will look like this:
If the "Status" of the reconciliation is COMPLETED, it means that the download was successful and the data was imported.

If there were mistakes in the file, the system is going to send you a notification about errors, in the following format:

Click on the "Download file with errors" button, the system will highlight the fields that need editing for making a successful upload into the system.

Thus, in just 4 steps, you can successfully import the user base file into the ORTY system.
